Commons Area Reservation Request Form

Please review guidelines prior to form completion

Definitions:
Commons - The pylons seating area.
Reserved by Facilities Management (293-1811). Approval for events in this area must be obtained from the VP Special Events Office (293-1047).

Pylon Lobby - The walkthrough area from the VP North elevators to the Dental Clinic.
Reserved by Facilities Management.

VP Auditorium Foyer - The area adjacent to the auditorium.
Reserved by Facilities Management.

  • When the auditorium is reserved, this area is automatically reserved for those using the auditorium.
  • This area can only be reserved separately from the auditorium when there is no one in the auditorium.

Learning Center Auditorium Foyer - The area outside of Room 1901 and the front entrance to Family Medicine.
Reserved by Facilities Management.

Bookstore - The area in front of bookstore.
Reserved by Facilities Management

Student Lounge - The area in front of the HSC Post Office.
Reserved by Facilities Management

Guidelines:
  1. For events scheduled between 8:15 am-4:45 pm that include guest speakers and/or a program that requires a microphone, you are encouraged to utilize an auditorium.
  2. No live music during working hours without approval from VP Special Events Office.
  3. No furniture gets moved without prior approval from the VP Special Events Office.
  4. All movement of items across tiled floors to be reviewed by VP Special Events Office (293-1047) and Facilities Management first (such as large heavy pianos, bulky displays, etc.)
  5. No items taped or attached to walls.
  6. No access or egress areas blocked (from the hallway entrances).
  7. No food set-ups in the Commons area without prior approval from VP Special Events Office.
  8. Nothing leaning against or supported by walls for temporary displays. All displays must be free standing.
  9. All hallways to be maintained at acceptable clearances to be reviewed by HSC Safety Officer. (No tables permitted in front of the benches located in the main Learning Center Hallway.)
  10. No open flames.

Parking (Very Important Due to Construction):

It is the responsibility of the requesting department to arrange parking with DPS. Please call 293-5100 and confirm the availability of parking for outside attendees.
