POSITION SUMMARY:   This position has administrative responsibility for the Health Sciences Vice President and Executive Dean’s Office.  This position works in close collaboration with the Vice President and Executive Dean, office staff, and members of the HSC senior leadership team.  In addition, this position must maintain positive working relationships with the five HSC Schools, Signature Programs, Research Office, Legal Affairs, Institutional Advancement, Regional Campuses, WVU Medicine, WVU Main Campus, WVU Foundation, Local, State and National government officials.

 

 

 

 

 

 

 

 

 

 

 

MINIMUM QUALIFICATIONS:

EDUCATION, CERTIFICATION, AND/OR LICENSURE:

1.

Bachelor’s degree in Business Administration, Communication, or other related field.

EXPERIENCE:

1.

Four (4) years of supervisory or administrative experience.

 

 

 

PREFERRED QUALIFICATIONS:

EXPERIENCE:

Experience in a healthcare and/or medical education environment.

 

 

CORE DUTIES AND RESPONSIBILITIES: The statements described here are intended to describe the general nature of work being performed by people assigned to this position.  They are not intended to be constructed as an all-inclusive list of all responsibilities and duties.  Other duties may be assigned.

1.

Oversees the business operations and support services within the Health Sciences Vice President and Executive Dean’s Office.  Oversight responsibilities include: hospitality, on-boarding of senior executives, messaging, logistics and travel arrangements, agreements and contract processing, meeting scheduling, meeting material preparation, external relations, correspondence, executive recruitment, and event planning.

2.

Directly supervises support staff within the Executive Dean and Vice President for Health Sciences suite, while maintaining a team-focused culture that allows staff to flourish.

3.

Serves as principal support for high profile telephone calls and visits (i.e. national specialty societies, medical school organizations, representatives of the news media, members of the WVU Board of Governors, President’s office, legislators, congressmen and other national and state dignitaries, etc.) demonstrating a high level of professionalism and hospitality.

4.

Provides confidential support for VIP patients and their families from state, national and international referral sources in obtaining health care within WVU Medicine in a professional, efficient, and timely delivery of service to patients and clients requesting assistance.

5.

Supports and participates in various HSC committees and performance improvement activities as appointed.

6.

Financial and budgetary authority and responsibility of more than $1M. This individual must be familiar with personnel and budgetary policies/procedures that encompass both WVU and WVU Medicine.

7.

Independently provides daily supervision and oversight of staff.

SKILLS AND ABILITIES:
